Responsibilities – Key Performance Indicators

– Develop objectives to ensure good and adequate inventory management
– Ensure that stocks are at optimum level and expired stocks are segregated from usable stock
– Ensure availability of MSDS for all products
– Enforce good housekeeping and safe storage practices as defined by the raw material manufacturers – referring to MSDS and other specific instructions
– Reconfirm the status of any raw material subjected to inspection and quarantined
– Analyze reason for delay for delivery of finished goods and report objectively to the Top Management

Responsibilities – General

Stores Function

– Develop and implement Inventory Control Modules such as FIFO, FILO, LIFO, ABC
– Develop and implement an efficient and effective identification and traceability system
– Develop and implement re-order levels after having analyzed the raw material criticality, availability, market information as determined from sales
– Ensure optimal level of stock at all times
– Minimize procurement through optimal use of stocked material
– Eliminate over-stocking of material
– Coordinating with Procurement in enhancing material deliveries
– Update daily stock balance at the Factories Level and prepare reports for Top Management’s review
– Liaise with Plant Managers and Operational Managers to improve stores efficiency and storage systems
– Review and approve supplier invoices prior to forwarding to Top Management / Accounts for payment release
– Coordinating with Plant Managers and Operational Managers in organizing stores for periodic Stock Counts and Stock Taking
– Ensure scrap are segregated and stored appropriately

Dispatch Function

– Review finished goods inventory list on a daily basis and coordinate with Sales Manager in arranging for their dispatch
– Report finished goods lying on the shop-floor for more than 15 days to the Operational Managers and Top Management
– Prepare monthly report of defaulting clients for Top Management’s review and action
– Take necessary action as seemed fit by the Top Management in dealing with finished goods on the shop-floor for more than 30 days

Authority

– Ask for stock reports from stores to evaluate stock expiry dates and stock conditions
– Review and approve Mat. Requisitions before forwarding for Top Management’s Approval
– Ask for stock reports from dispatch to evaluate sales – dispatch performance
– Execute actions as instructed by Top Management for disposal of overstocked raw material or finished goods lying on the shop-floor for over 30 days
– Authorize procurement of material when stock has reached re-order level
– Controlling and channelizing of stores activities
– Ensure completion of Supplier Evaluation
– Recommending for disqualification of defaulting suppliers – based on product quality, delivery and packaging
– Seek verification of issued material against actual production

Accountability

– To ensure optimal level of stock
– Adequate housekeeping at stores
– Timely transmission of invoices for payment
– Ensuring Achieving of objectives
– Ensuring knowledge and practice of Safe Operational Method
– Ensuring awareness of Operational safety and environmental factors within his plant
– Minimizing of Raw Material Wastage
– Ensuring Product Conformity
– Defects prevention and elimination of non conforming causes
– Ensure adequacy of training to be imparted
– Ensuring Personal Safety
– Ensuring usage of appropriate PPE
– Ensuring subordinates safety
– Ensure safety of colleagues, visitors and contractors
– Ensuring Operational Safety
– Ensuring Availability of safe work environment and associated utilities
– Reporting of any incidents to the Factories QHSE Manager and the Management
