Job summary

MISSION:

Responsible for administration of several construction contracts.

The ideal candidate will work in a multi-cultural integrated team and will report to the Subcontract Administration Manager.

TASKS:

  • Participating to each Kick-off meeting to inform subcontractors about the procedures of administration (preparation of unit rate accounting, evaluation of extra works, progress payment certificates, bank guarantees, insurances to be provided etc.);
  • Reviewing in detail and approve the Contractor’s progress payment certificates (PPCs) in accordance with the Contract, obtain all internal and external authorizations and issue the authorization to invoice letter to Contractors;
  • Reviewing Contractor’s additional compensation requests and offers, negotiating and agreeing with Contractor and issue the relevant Change Orders (CHO), obtaining all internal and external authorizations and sending the CHO to Contractor for execution. Once the CHO will be completed, verifying the final cost proposal from Contractor and approve it;
  • Organizing weekly subcontracting meetings to discuss open commercial items and issuing on a weekly basis the relative notes of meeting;
  • Ensuring that the unit rate accounting (pre and as built) approval is given in accordance with the contractual method of measurement and preambles. Following the verification of unit rate accounting by the Quantity Surveyor, if any disputes arise, inform Subcontract Administration Manager in order to organize a dedicated meeting to discuss the matter with the Contractor;
  • Assuring that extra works, claims, back charges, penalties and closing out of the contract are performed / processed in accordance with the Project Subcontract Administration Procedure;
  • Updating each month the “Subcontract Administration Report” including all CHOs and PPCs issued within the month;
  • Monitoring the official correspondence between Client and construction contractors and informing the subcontract administration manager for any critical issues;
  • Drafting letters to reply to Contractors and sending them to Subcontract Administration Manager review;
  • Following-up insurances and bank guarantees and informing Subcontract Administration Manager for the ones that are expiring;
  • Ensuring that all contract, unit rate accounting and CHO documents are properly filed and in auditable conditions;
  • Assisting Subcontract Administration Manager for the evaluation of claims assessment, following-up until the final settlement and issuing of the settlement agreement;
  • Assisting the Subcontract Administration Manager in resolving disputes with contractors, about contractor’s contractual obligations, and participating, as required to the claim meetings with contractors.

EDUCATION & EXPERIENCE:

  • Bachelor’s Degree in Engineering or Business Management;
  • Previous proven experience with Subcontracts and Subcontracts Administration in Pharmaceutical sector;
  • Fluent level of written and spoken Italian and English.

OTHER DETAILS:

  • Job Location: 1st phase in Milan, Italy; 2nd phase at Client’ site in Belgium (to be defined);
  • Contract Duration: 1 year;
  • Working schedule: 8 hours x 5 days;
  • Starting date: September 2023.
